Your question has been archived so I can't really answer it there, but I can tell you all you need for a proper reference is enough information about each book for someone who is determined to find that book to do so. Help me!

Please help me with...

I have received an email containing an head shot image from a Wikipedia subject for use on their profile. As they approached me to use the image can I go ahead and upload it, and if so under what license?

You will need to ask the person who sent you that image. By default, photos are copyrighted by the photographer (not the person depicted in the image), and we would need the copyright holder to release the image under a free license such as the Creative Commons Attribution-ShareAlike 3.0 License. If we do not have evidence that the image has been released under such a license (and under which such license), we cannot use it. Merely being sent the image, or even being given permission to use it on Wikipedia, is not enough. See also WP:Requesting copyright permission and WP:Donating copyrighted materials.
